Washington has its own rules. I know them.
National bookkeeping services treat every state the same. Washington isn’t the same — no personal income tax, but a gross receipts tax that catches people off guard and a sales tax that changes by street address.
B&O tax, tracked all year
Washington taxes gross receipts, not profit, which means you can owe B&O in a year you lost money. I track it monthly by classification so filing is a lookup instead of a scramble.
Sales tax by location code
Washington sales tax is destination-based — the rate follows the customer’s address, not yours. If you deliver or work on-site around King County, that detail compounds quickly. It gets configured correctly in your file at setup.
Seattle-specific filings
Seattle levies its own business license tax on top of the state’s. If you operate inside city limits, that’s a separate return most out-of-state services won’t know to ask about.

The things people actually ask me.
My books are a disaster. Is that a problem?
Cleanup is a standard part of onboarding, not an exception. Books get behind because you were busy running the business. Tell me how far back it goes and how many accounts are involved, and I’ll scope the fix before you commit to anything.
I’m two years behind. Is it too late?
No. Catch-up is quoted separately from your monthly rate, and you get the number before any work begins. A cleanup that size typically runs two to six weeks, depending on transaction volume and how much documentation still exists.
Do I have to use QuickBooks Online?
For ongoing monthly work, yes. It’s the platform I’m certified in and the reason I can quote flat rates instead of billing hourly. Migration from spreadsheets, Wave, or QuickBooks Desktop is part of onboarding.
Don’t I already have this covered by my CPA?
Usually not. Most CPAs prepare your return once a year from whatever books you hand them. If those books are wrong, they either bill hourly to fix them or file from bad numbers. Bookkeeping is the year-round work that makes tax season fast and uneventful.
How do you access my accounts?
Read-only bank feeds through QuickBooks Online, plus a secure client folder for statements and receipts. I don’t need your online banking password and won’t ask for it — I can view transactions, not move money. I also carry errors and omissions insurance.
What if I want to leave?
Month to month, with 30 days’ written notice. Your QuickBooks file is yours and stays in your name — I’m a user on it. When we’re finished, I remove my access and everything stays exactly where it is.
What counts as a “transaction”?
Any line item that hits an account you’ve connected — a card charge, a check, a deposit, a transfer. If you’re not sure where you land, send a recent bank statement and I’ll count it for you before you choose a plan.
How fast do you answer?
Within one business day, usually sooner. Messages that arrive over the weekend are answered Monday morning. What you won’t get is a ticket number and a different name every time.
